Terms & Conditions

1. Introduction

These Terms & Conditions outline the agreement between Ginger Events NZ (“we”, “us”, “our”) and the client (“you”, “your”) for wedding planning, styling, and on-the-day coordination services.
By paying your deposit or engaging our services, you agree to the terms below.

2. Our Services

Essentials Package

  • Final 4–6 week vendor management

  • Tailored event guide booklet (including run sheet, floor plans, dietary lists, key contacts)

  • Venue walkthrough

  • On-the-day coordination (up to 8 hours)

Partial Planning Package

  • Work begins 6 months prior to your wedding date

  • All inclusions from The Essentials package

  • Vendor recommendations & booking assistance

  • Styling & venue design advice

  • Budget planning guidance

  • Up to 5 planning meetings with our two planners

Full Planning Package

  • Work begins when you require our services (within 18 months of your wedding date)

  • All inclusions from The Essentials & Partial Planning

  • Venue sourcing & booking

  • Full design & concept development

  • Guest management (RSVPs and dietary requirements)

  • Rehearsal & post-event support

  • Up to 10 planning meetings with our two planners

3. Payments

A 50% non-refundable deposit is required to secure your booking. The remaining 50% balance is due 4 weeks prior to your wedding date. Payment is accepted via online transfer through our Xero invoice system. Work will not commence until the deposit has been received. Late payments may result in paused services until payment is received.

If payments are not made within the specified timeframe, Ginger Events NZ reserves the right to suspend or terminate services and retain any funds paid to date. Any resumption of work after suspension is at our discretion and may incur an additional administrative fee.

4. Cancellations & Postponements

Client-initiated cancellations

  • The 50% deposit is non-refundable once paid.

  • If cancellation occurs after the final payment but before the wedding date, we may provide a partial refund (less any work already completed or costs incurred).

  • If cancellation is due to unforeseen circumstances outside your control (e.g., serious illness, death in the family, or natural disaster), Ginger Events NZ may, at its discretion, offer a partial or full refund.

Postponements

  • If your wedding date is postponed, we will make every effort to transfer your booking to the new date, subject to availability.

  • If we are unavailable on your new date, standard cancellation terms will apply.

Our cancellations
In the unlikely event that Ginger Events NZ must cancel services due to illness or other extraordinary circumstances, we will provide:

  • A full refund of any payments received excluding work already completed, and/or

  • Assistance in sourcing a replacement coordinator where possible.

Ginger Events NZ shall not be liable for any additional costs, losses, or damages incurred by you due to cancellation or rescheduling of services.

5. Responsibilities

Client Responsibilities

  • Provide accurate event information, contact details, and vendor access.

  • Ensure all vendors and suppliers are contracted directly with you unless otherwise agreed.

  • Communicate any schedule or design changes promptly.

  • Ensure adequate event insurance is in place to cover any damages, cancellations, or unforeseen incidents.

  • Approve and settle all vendor invoices, including any last-minute emergency vendors or contractors engaged by Ginger Events NZ on your behalf.

Our Responsibilities

  • Deliver the agreed services with professionalism, care, and attention to detail.

  • Act as liaison with vendors and suppliers for coordination purposes.

  • Provide a seamless and supportive planning experience in line with your chosen package.

  • Our role does not include the management or handling of money, contracts, or liability for third-party vendor performance.

Emergency or Last-Minute Services
In the event that an urgent or unforeseen issue arises on the event day that requires immediate attention (for example, repair, replacement, or additional service), Ginger Events NZ may, at its discretion, engage an appropriate contractor or vendor to resolve the issue. All reasonable costs associated with this will be the client’s responsibility and will be invoiced after the event. Ginger Events NZ will make reasonable efforts to communicate with the client before proceeding, unless immediate action is required to prevent disruption or damage.

6. Third-Party Vendors

Ginger Events NZ may recommend vendors or suppliers but is not responsible for their performance, quality, or reliability. All vendor contracts and payments remain between you and the third party unless otherwise specified in writing.

You acknowledge that all third-party services are engaged at your own risk. Ginger Events NZ is not liable for any delays, errors, omissions, accidents, injuries, property loss, or damages arising from the actions or negligence of third-party vendors, venues, or contractors.

7. Travel & Accommodation

Travel fees apply for any services provided outside a 30km radius of Auckland, Hamilton, or Tauranga. Such fees may include mileage, airfares, accommodation, meals, and reasonable travel expenses for our team.

If travel is required by plane, the travel fee will also cover the cost of a rental vehicle or other ground transport.

8. Liability

We take great care in every event; however, Ginger Events NZ is not liable for any indirect, incidental, or consequential losses, including delays, property damage, or injury caused by third-party vendors or unforeseen circumstances.

You agree to indemnify and hold harmless Ginger Events NZ, its directors, employees, and contractors from any and all claims, damages, liabilities, and expenses arising from your event.
Our total liability under this agreement shall not exceed the total fees paid to Ginger Events NZ for services rendered. We are not responsible for loss or damage to any personal or hired property before, during, or after the event. You acknowledge that event styling and coordination may involve elements beyond our control (e.g., weather, vendor reliability, venue restrictions), and Ginger Events NZ cannot guarantee specific outcomes.

9. Force Majeure

Neither party shall be liable for failure or delay in performance due to events beyond reasonable control, including (but not limited to) acts of nature, pandemics, government restrictions, strikes, or extreme weather events.

If a Force Majeure event occurs, Ginger Events NZ will make reasonable efforts to reschedule or adapt services, but no refunds will be provided for work already completed.

10. Media & Marketing

You grant Ginger Events NZ permission to use photos or videos of event styling and setup for marketing purposes, unless you notify us in writing that you do not consent.

We will never use personal or identifiable images of you, your guests, or private details without consent. Only styling and setup imagery will be used unless otherwise agreed.

11. Confidentiality

All personal information shared with Ginger Events NZ is treated as confidential and used solely for the purpose of delivering your event. We will not share, sell, or disclose client information to third parties except as required to fulfil our services.

12. Governing Law

These Terms are governed by the laws of New Zealand, and both parties submit to the exclusive jurisdiction of the New Zealand courts.

13. Acceptance

By paying your deposit, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
