Terms & Conditions

1. Introduction

These Terms & Conditions outline the agreement between Ginger Events NZ (“we”, “us”, “our”) and the client (“you”, “your”) for wedding planning, styling, on-the-day coordination, and celebrancy services.

By paying your deposit or engaging our services, you agree to the terms outlined below.

2. Our Services

Essentials Package

  • Final 4–6 week vendor management

  • Tailored event guide booklet including run sheet, floor plans, dietary lists, and key contacts

  • Venue walkthrough

  • On-the-day coordination (up to 8 hours)

Partial Planning Package

  • Work begins approximately 6 months prior to your wedding date

  • All inclusions from The Essentials package

  • Vendor recommendations and booking assistance

  • Styling and venue design guidance

  • Budget planning support

  • Up to 5 planning meetings with our two planners

Full Planning Package

  • Work begins when required (within 18 months of your wedding date)

  • All inclusions from The Essentials and Partial Planning packages

  • Venue sourcing and booking

  • Full design and concept development

  • Guest management including RSVPs and dietary requirements

  • Rehearsal and post-event support

  • Up to 10 planning meetings with our two planners

Celebrant Services

  • Preparation and delivery of a personalised wedding ceremony

  • Pre-wedding consultation and ceremony planning

  • Guidance on vows, structure, and ceremony flow

  • Completion and submission of required legal documentation

  • Attendance and officiating of your ceremony on the wedding day

3. Payments

A 50% non-refundable deposit is required to secure your booking. The remaining balance is due 4 weeks prior to your wedding date unless otherwise agreed in writing.

Payment is accepted via online transfer through our Xero invoice system. Work will not commence until the deposit has been received.

Late payments may result in services being paused until payment is received.

If payments are not made within the specified timeframe, Ginger Events NZ reserves the right to suspend or terminate services and retain any funds paid to date. Any resumption of work after suspension is at our discretion and may incur an additional administrative fee.

4. Cancellations & Postponements

Client-initiated cancellations

The 50% deposit is non-refundable once paid.

If cancellation occurs after the final payment but before the wedding date, a partial refund may be provided at our discretion, less any work completed or costs incurred.

If cancellation is due to unforeseen circumstances outside your control, such as serious illness, death in the family, or natural disaster, Ginger Events NZ may, at its discretion, offer a partial or full refund.

Postponements

If your wedding date is postponed, we will make every effort to transfer your booking to the new date, subject to availability.

If we are unavailable on the new date, standard cancellation terms will apply.

Our cancellations

In the unlikely event that Ginger Events NZ must cancel services due to illness or extraordinary circumstances, we will provide a refund of payments received excluding work already completed, and/or assist in sourcing a replacement where possible.

Ginger Events NZ is not liable for any additional costs or losses incurred due to cancellation or rescheduling.

5. Responsibilities

Client Responsibilities

Provide accurate event information, contact details, and vendor access
Ensure all vendors are contracted directly with you unless otherwise agreed
Communicate any schedule or design changes promptly
Ensure adequate event insurance is in place
Approve and settle all vendor invoices, including any last-minute or emergency services engaged on your behalf

For celebrant services:
You are responsible for applying for and obtaining a valid New Zealand marriage licence prior to your wedding date.
You must provide all required legal documentation and information accurately and within required timeframes.
If amplification is required for your ceremony, you are responsible for supplying a microphone and speaker system unless otherwise agreed.

Our Responsibilities

Deliver services with professionalism, care, and attention to detail
Act as liaison with vendors and suppliers for coordination purposes
Provide a seamless and supportive planning experience aligned with your selected package

Our services are limited to those outlined in your selected package unless otherwise agreed in writing.

We do not manage or hold responsibility for third-party contracts, payments, or vendor performance.

Emergency or Last-Minute Services

If an urgent or unforeseen issue arises on the event day requiring immediate action, Ginger Events NZ may engage an appropriate contractor or vendor to resolve the issue.

All associated costs will be the responsibility of the client and invoiced accordingly. We will make reasonable efforts to communicate prior to proceeding unless immediate action is required.

6. Third-Party Vendors

Ginger Events NZ may recommend vendors but is not responsible for their performance, quality, or reliability.

All vendor contracts and payments remain between you and the vendor unless otherwise agreed in writing.

You acknowledge that all third-party services are engaged at your own risk. Ginger Events NZ is not liable for any issues arising from vendor actions or performance.

7. Travel & Accommodation

Travel and accommodation costs are not included in package pricing and will be quoted separately based on your wedding location.

Travel fees apply for services outside a 30km radius of Auckland, Hamilton, or Tauranga and may include mileage, airfares, accommodation, meals, and other reasonable expenses.

8. Liability

Ginger Events NZ is not liable for any indirect or consequential loss, including delays, property damage, or injury caused by third-party vendors or circumstances beyond our control.

You agree to indemnify and hold harmless Ginger Events NZ from any claims or damages arising from your event.

Our total liability shall not exceed the total fees paid for services.

9. Force Majeure

Neither party is liable for failure or delay due to events beyond reasonable control, including natural disasters, pandemics, or government restrictions.

In such cases, we will make reasonable efforts to reschedule or adapt services. No refunds will be provided for work already completed.

10. Media & Marketing

You grant Ginger Events NZ permission to use photos or videos of event styling and setup for marketing purposes unless you notify us otherwise in writing.

We will not use identifiable images of you or your guests without consent.

11. Confidentiality

All personal information is treated as confidential and used solely for the purpose of delivering your event.

12. Governing Law

These Terms are governed by the laws of New Zealand.

13. Acceptance

By paying your deposit, you confirm that you have read, understood, and agree to these Terms & Conditions.
